You must be a certified member of the LORI network to participate in interlibrary loan.

Required Back Office Settings for ILL Participation

If your school library participates in interlibrary loan, the following settings must be applied in Back Office in order for ILL to function properly. For more details, please see the Important Tips for Destiny© Site Configuration section below.

1. You must set your default Patron Type to ILL and leave it there

2. The Site Configuration setting "Allow library materials to circulate to all patrons in the district" must be checked

3. Your ILL Patron Type Pending and Ready Holds expiration settings must be set to a minimum of 35 days for each

4. Your ILL Patron Type Max Checkouts and Max Holds must be set to 99 for each

5. Your ILL Patron Type Regular Circulation Loan Period must be set to at least 28 days

Important Tips for Destiny© Site Configuration

Important Destiny© site configuration settings are listed below. Please review them all carefully, especially if your library participates in interlibrary loan. Please also review the document called "The Gob-ILL-ins 2013" linked at the bottom of this page.

  • If your library is doing interlibrary loan, the default patron type for your site must be set as ILL. (See next bullet for instructions.) You must change the default patron type from ILL to Student or Faculty when manually setting up a new individual patron record, but otherwise leave the default patron type on the Library Policies screen set to ILL. If your log-in does not allow you to do this, please contact RILINK staff with the log-in username that you are using so that your log-in Access Level can be reset.
  • To set the ILL patron type as the default patron type for your site, log into your site and follow these steps (requires Administrator or Library Administrator access level): 1) Click the Back Office top tab 2) Click the Library Policies side tab 3) Be sure the Patron Types sub-tab (under "How do I...?") is the active screen 4) Scroll down to the ILL patron type and look for a white arrow in a blue box and the phrase "Default Patron Type" - no arrow means ILL is not the default patron type and you must proceed to the next step 5) Click the Edit icon (paper and pencil) for the ILL patron type 6) Under Patron Type at the top (it should read "ILL" in the field), check the box that says, "Make this the default" 7) Click Save at the bottom of the page.
  •  If your site does not have a patron type called ILL or Interlibrary Loan, please create one*: Log into your site and follow these steps (requires Administrator or Library Administrator access level): 1) Click the Back Office top tab 2) Click the Library Policies side tab 3) Be sure the Patron Types sub-tab (under "How do I...?") is the active screen 4) Click the +Patron Type ("Add Patron Type") icon on the upper right 5) In the new window, name the patron type "ILL" or "Interlibrary Loan" or "RILINK" (without quotes) 6) Important: Check the "Make this the default" box 7) Leave SIF set to Student 8) Important: Set Max Checkouts and Max Holds to 99 9) Important: Set Ready Holds Expire in and Pending Holds Expire in to at least 35 days 10) The recommended Default Hold Priority setting is Standard 11) Important: Set Regular Circulation Type Holds to at least 28 days 12) All of the other settings may be set per your discretion 12) Be sure to click Save before exiting the screen
*If one of your site's other patron types conforms to these settings and is set as the default patron type, please contact RILINK staff for verification.

 

  • If your library is participating in interlibrary loan, the setting "Allow library materials to circulate to all patrons in the district" must be checked**. ("District" in this setting means all of the participating RILINK ILL members; it does not refer to your school district.) To check this setting (requires Administrator or Library Administrator access level): 1) Click the Back Office top tab 2) Click the Site Configuration side tab 3) Select the Circulation sub-tab (from the line of sub-tabs above the "Save" button) 4) Check the box at the top that says, "Allow library materials to circulate to all patrons in the district" 5) Click Save. 
**VERY IMPORTANT: Once the above step is completed, your library will be "live" in the interllibrary loan pool and you will start receiving ILL requests from other schools. DO NOT complete this step until you are ready to fill (or decline) requests promptly.

 

  • The Ready Holds and Pending Holds settings for the ILL patron type must be set to at least 35 days (or longer) to prevent hold and ILL requests from expiring prematurely. (More information about this can be found in the document "Gob-ILL-ins 2013" in the Related Documents box on this page.) To set the Pending Holds and Ready Holds to at least 35 days, follow these steps: (requires Administrator or Library Administrator access level): 1) Click the Back Office top tab 2) Click the Library Policies side tab 3) Be sure the Patron Types sub-tab (under "How do I...?") is the active screen 4) Scroll down to the ILL patron type and click the Edit icon (paper and pencil) 5) Change the "Ready Holds Expire in" and "Pending Holds Expire in" fields to 35 days or higher 6) Click Save at the bottom of the page.
  • The ILL Patron Type Max Checkouts and Max Holds must be set to 99 days each. To review and edit these settings (requires Administrator or Library Administrator access level): 1) Click the Back Office top tab 2) Click the Library Policies side tab 3) Be sure the Patron Types sub-tab (under "How do I...?") is the active screen 4) Scroll down to the ILL patron type and click the Edit icon (paper and pencil) 5) Type 99 in the Max Checkouts and Max Holds boxes 6) Click Save
  • The ILL Patron Type Regular Circulation Loan Period must be set to at least 28 days. To review and edit this setting (requires Administrator or Library Administrator access level): 1) Click the Back Office top tab 2) Click the Library Policies side tab 3) Be sure the Patron Types sub-tab (under "How do I...?") is the active screen 4) Scroll down to the ILL patron type and click the Edit icon (paper and pencil) 5) In the Circulation Type grid at the bottom, set the Loan Period for Regular items to at least 28 6) click Save.
  • Carefully review and edit the settings for each patron type to match your library policy guidelines. To review and edit the patron types for your site (requires Administrator or Library Administrator access level): 1) Click the Back Office top tab 2) Click the Library Policies side tab 3) Be sure the Patron Types sub-tab (under "How do I...?") is the active screen 4) Review the settings for each patron type; to make changes, continue to the next step 5) Click the Edit icon (paper and pencil) for the patron type you want to edit 6) Make changes and click Save.
  • In order to allow patrons to place their own holds and make their own ILL requests, the Self-Empowered Patron Access settings must be activated. To activate these settings (requires Administrator or Library Administrator access level): 1) Click the Back Office top tab 2) Click the Access Levels side tab 3) Click the Edit icon (paper and pencil) of the patron type you want to edit 4) Click the Patrons sub-tab (look under the Cancel button) 5) Check the following four boxes under "Self-Empowered Patron Access": "View own status;" "Place hold for self from Catalog;" "Place holds on available copies;" "Place ILL for self from Catalog." All other settings are optional. 6) Click Save.
