Ending/Starting the Year: Ending the current year

What to do and think about when ending the current school year and planning for the next.

General Tasks

Overdue Notices

  • Produce Overdue Notices consistently for seniors, 8th graders and 5th graders early; these students will be leaving your school and should keep their accounts clear
  • Collect fines using your schools procedures
  • Create and save the report for these students' overdue materials, as they will no longer show as your patrons

 

 

 

 

Destiny tasks:

Overdues

  1. Produce overdue notices for senior equipment loans, giving a deadline date.
  2. Once the deadline has passed, run a report of all senior equipment loans still outstanding.
  3. Print the report of senior equipment loans still outstanding.
  4. Produce overdue notices for for materials still checked out to seniors and emphasize that all items must be returned immediately, giving a deadline date.
  5. Once the deadline has passed, run a report of all senior book loans still outstanding.
  6. Print the report of senior book loans still outstanding.
  7. When you are satisfied that no more equipment or materials borrowed by seniors are going to be returned, delete the senior patron records, choosing to delete patrons that still have items checked out.  This will mark these items as Lost.
  8. When you start a new Inventory, you can delete items marked as Lost by date, so that you can remove the Lost items from your catalog.

INVENTORY

Inventory is an important function that allows a librarian to make informed purchases for the next school year and to reflect on the circulation processes in place.

Remember that you don't have to inventory the entire collection every year.  Choose a part of the collection that you think may have experienced loss, or one that has not be inventoried in the last several years.
